Privacy Policy

Forge Growth (“we”, “us”) is a UK agency that books home surveys for home improvement installers, such as solar & battery and bathroom & kitchen companies. This policy explains what information we collect — including through Facebook and Instagram lead forms, our website and our phone calls — what we do with it, and your rights.
Who we are
Forge Growth Agency is the trading name of FORGEGROWTHAGENCY.COM LTD, a company registered in England and Wales (company number 17243933), registered office: 102 Greenwood Road, Wirral, CH49 8HU, United Kingdom. We are the controller of the personal data described here, except where we handle a homeowner’s details for one of our clients (see below). For anything about your data, email shea@forgegrowthagency.com.
What we collect
- From a Facebook or Instagram lead formon one of our ads: your name, phone number and email address, your answers to the form’s questions (for example, how many installs your company fits a week), and which ad and form you used.
- From our website’s callback form: your name and mobile number.
- From our phone calls:recordings of calls we make or take through our phone system, written transcripts of those recordings, and short notes of what was discussed (see “Call recordings and AI notes” below).
- Booking details:the day and time of any call or survey we arrange with you (including a time you pick for us to ring you), and anything you tell us when it’s booked, such as your business name, area, trades and roughly how many jobs you do a month.
- If you become a client: your business and contact details, the terms we agreed with you, your invoices, payments and survey credits, your diary availability, and your login and use of your client dashboard.
Call recordings and AI notes
We record the calls we make and take through our phone system, and we tell you at the start of the call. After the call, the recording is sent to OpenAI, which turns the speech into text. That text is then sent to Anthropic, whose AI model (Claude) writes a short note of what was said — your business, what you’re after, any questions and the next step. The note goes on your record in our customer system; the transcript is kept in our database. We also use transcripts to check the quality of our calls and to train the people making them.
The notes are there to help a person pick up where the last call left off. No decision about you is made by AI alone. If you don’t want a call recorded, tell us — you have the right to object (see “Your rights”).
Why we use it, and our legal basis
- Responding to your enquiry and talking to you about our service — ringing you back, finding out whether we suit your business, booking an intro call and following up. Legal basis: our legitimate interests in answering business enquiries and offering our service to home improvement installers.
- Recording calls and keeping transcripts and notes — so we have an accurate record of what was said and agreed, can check call quality and train our callers, and can sort out any disagreement later. Legal basis: our legitimate interests in doing those things.
- Delivering our service to clients— running your ads and booking, your dashboard, invoicing and survey credits. Legal basis: performing our contract with you, or taking steps you’ve asked for before entering one.
- Keeping financial records — legal basis: our legal obligations, including tax law.
We do not sell your personal data.
If you’re a homeowner
When we ring a homeowner about an enquiry (solar panels, a battery, a bathroom or a kitchen), we do it on behalf of the installer whose ad they answered, and only on that company’s instructions. That company is the controller and its own privacy notice applies; we act as its processor. We pass your details and booking to that company only, and the same call recording and AI note process applies to those calls. You can contact that company or us about your data.
Who we share it with
We use these service providers, who process data on our behalf and only on our instructions:
- GoHighLevel (HighLevel, Inc., also known as LeadConnector) — our customer system, phone system, call recording and text messages.
- Supabase — our database, hosted in London.
- Vercel — hosts our website and dashboard.
- Slack — alerts our team when a new enquiry comes in, so we can ring you quickly.
- OpenAI — turns call recordings into text.
- Anthropic — writes call notes and summaries from those transcripts.
- Twilio — sends some text messages and runs an older phone number we use for alerts and booking confirmations.
Our GoHighLevel account is set up inside the GoHighLevel account of another agency we work with, and that agency can see the data in it so it can help us run it.
Meta (Facebook and Instagram) runs our lead forms and also uses your submission under its own privacy policy, as the form tells you. We may also share data with our professional advisers (such as our accountant), or where the law requires it.
Transfers outside the UK
Meta, HighLevel, Vercel, Slack, OpenAI, Anthropic and Twilio are based in the United States, so your data may be processed there. Where that happens, the transfer relies on the UK–US data bridge for providers certified under it, and otherwise on the UK’s approved contract terms (the International Data Transfer Agreement, or the UK Addendum to the EU standard contractual clauses) in that provider’s terms. Email us for details.
How long we keep it
- If you enquired or we rang you and you didn’t become a client: 12 months from our last contact with you, including recordings, transcripts and notes of our calls with you.
- If you’re a client: recordings, transcripts and notes of our calls, 12 months from the call; your invoices, payments and credits, six years after our work together ends, for tax and legal reasons.
- Homeowner data we handle for a client: only while we work for that client, on its instructions; when our work for it ends, we delete it or hand it back to the client, whichever it asks.
You can ask us to delete your information sooner — see below.
Your rights
Under UK data protection law you have the right to access your personal data, to have it corrected, to have it deleted, to restrict how we use it, to object to how we use it (including to call recording, and you can always tell us to stop contacting you), and in some cases to have it moved to another provider. To use any of these rights, email shea@forgegrowthagency.com or see Deleting your data. We’ll reply within one month.
If you’re not happy with how we’ve handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint. We’d appreciate the chance to put it right first, so please contact us too.
Cookies
Our website and portal use only the cookies necessary for them to function (for example, keeping you signed in). Third-party services we use, such as Meta, may set their own cookies when you interact with our ads — these are governed by that provider’s own privacy policy, not this one.
